Preparing for your Arrival Policies:

  • Supervision of Minors:- At all times a guest group must ensure the proper supervision of minors they are bringing to Stillwood. This policy is based on Stillwood's own liability insurance requirements and lines up with other legal frameworks such as the BC School Act (School Regulation 4.1.b) We recommend a ratio of 1 adult for every 10 minors, however, in some circumstances, this may not be feasible. At a minimum guest groups must provide the following:

    1) Ensuring that all minors in your group can be seen and attended to in emergencies at all times.

    2) Ensure that all minors in your group have adult supervision overnight in accommodations.

    3) Ensuring that all persons in your group have adequate access to first aid personnel.

  • Arrival –If you're planning a group visit, it's important to ensure that your onsite leader arrives before the rest of the group. If your arrival falls between 9 a.m. and 5 p.m., your key package will be available for pickup at the office. However, if you're arriving outside of office hours, it's best to make arrangements with the guest group coordinator beforehand. You can then message or call the "on-call" host to receive your key package.

  • Check-In – Your group is able to check in anytime before 3 pm. However, your meeting space and accommodations may not be available right away before 3 pm. If you plan to arrive before 3 pm, please make arrangements with the guest group coordinator (groups@stillwood.ca)

  • Check-Out – Please check out of your accommodations by 10 a.m. and the meeting room by 2 p.m. Turn off lights, have the heat set to 15 degrees, and close windows. Kindly stack chairs and put away tables in the meeting room before leaving.

  • Departure – Before you leave Stillwood, please ensure that your keys have been dropped off at the front office. If the office is locked, you can put your key package through the mail slot to the right of the office's front doors. 

  • Guest Services –If you need anything throughout your stay, a guest service host will be available from 9 a.m.-5 p.m., and on call/emergency only after 5 p.m. Please call or text 604 557 3902 for assistance. Please understand that non-emergency needs (supplies, information, and minor incidents) will need to be taken care of during office hours (9:00 am-5:00 pm) or wait until the next day. We cannot guarantee that a Stillwood employee is onsite or available after 5:00 pm everyday.
