Confirm your Booking:
Within 30 days
- Facility Contract – Before we can complete your booking reservation, we need to have a completed facility contract. Bookings without a completed contract will be automatically deleted after 30 days.
- General Waiver – The group leader needs to sign our General Risk Waiver
- Deposit – Please find attached a deposit invoice. The deposit must be pay within the next 30 days to confirm your booking. The deposit is 100% refundable if booking is cancelled more than 3 months before the booking dates. The deposit is non-refundable if cancelled within 3 months of booking dates. There are several ways that you can choose to pay your deposit:

- Pay via credit card – call us to get that finalized.
- Information Manual – Read through the entire manual to ensure that you have the information you need to plan a successful retreat.
3 months prior to your event
- Schedule – We want your experience at Stillwood to be a special one. To ensure that we are meeting your needs and expectations, we require a full detailed schedule of activities during your stay. Getting prepared can take several weeks as some of our staff/volunteers are part time and need notice to be slated. Submitting your schedule confirms your activity time slots, which are booked on a first come first serve basis. Please send us your schedule as soon as you can. If we do not receive your schedule at least 4 weeks prior to your arrival, we can not guarantee that we can accommodate your needs.
- Insurance – We will need a copy of your insurance certificate – The commercial policy needs to comprise: a minimum of 2 million dollar liability, includes coverage for all your participants, and specifies “BCMB Bible Camp Society and or Stillwood Camp and Conference Centre” as being included in the policy.
30 days prior to your event
- Onsite Leader # – It is common for Stillwood staff to have the need to contact the group leader that is onsite. For that reason it is important that we have a phone number for the leader that will be onsite during the event.
- Numbers – Please ensure that you give us an accurate number well in advance. We try to ensure that we are using our facilities to their greatest potential and, for that reason, there is a high likelihood that you will share our facilities with another group. In order to guarantee food, accommodation and amenities, we need accurate numbers. Please ensure that we have these when booking. If your numbers change, be sure to inquire with us to see if we can accommodate the new numbers as soon as you can.
- Meals – In the past, we did our best to accommodate many meal requests. With our current funding and staffing shortages, we can not make custom meals for food preferences and unique allergy requirements. With that said, we work hard to have gluten-free, dairy-free and vegan food options for every meal. It is important that you let us know how many people will require gluten-free, dairy-free and vegan meals at least 2 weeks before your arrival. Individuals with specific food preferences/allergies will be given a separate place to store food, but our food staff can not be involved in preparing outside food because of health regulations.
- Activity Waiver – If your group is taking part in some of our structured activities, we need EVERY participant to sign our activity waiver. Your group’s specific activity waiver link can be sent to each person/parent/guardian to be filled.
Preparing for your Arrival:
- Arrival – Please plan for your onsite leader to arrive before the rest of your group. If arriving between 9am-5pm, your key package will be available to be picked up in the office. If arriving outside of our office hours, please make arrangements with the guest group coordinator. Your keys will likely be left in your accommodation or meeting room for you to pick up.
- Check-In – Your group is able to check in to your accommodations anytime after 3pm. If planning to arrive before 3pm, please make arrangements to check into the meeting room earlier with the guest group coordinator.
- Check-Out – Your group must check out of your accommodations before 10am so that we can prepare for the next group checking in. Please check out of your meeting room before 2pm.
- Departure – Before you leave Stillwood, please ensure that your keys have been dropped off at the front office. If the office is locked, you can put your key package through the mail slot to the right of the office front doors.
- Guest Services –If you need anything throughout your stay, a guest service host will be available from 9am-5pm, and on call after 5pm. Please call or text 604 557 3902 for assistance.
General Policies:
- Quiet Hours – Quiet hours are between 11:00pm and 7:00am.
- Alcohol – We do not allow any alcohol on our grounds.
- WIFI – The guest WIFI network is Still-Guest. The WIFI password is 2022guest. As we are in a remote location, the WIFI is not suitable for streaming or downloading and can be unreliable in certain locations around camp.
- Sound & AV Equipment:
- Video Equipment: All of our meeting rooms have TVs, with HDMI connections, appropriate to the size of the room.
- Sound Equipment: Krahn, Columbia, Maple and Chapel meeting rooms have the following tech equipment. 2 microphones, 2 microphone stands, 2 DI boxes, 4 XLR Microphone cables, 2 ¼ in instrument cables, 2 multi tap extension cords and 2 adapters (3.5 stereo mm to double ¼ in and double RCA to double ¼ inch).
- Chapel AV System Details:
- Mixer: The chapel uses a digital Behringer X32 Producer. It is connected to the stage with a digital snake. All connections have custom routings in the sound board. As such you will need to supply a sound technition that is capable of programming the sound board to your events needs. Stillwood does not normally have a dedicated sound technition availible.
- Instruments: All groups need to provide their own instruments. Stillwood does not supply any instruments and any instruments found onsite can not be used as they are likely individually owned and not availible for use.
- Lighting: House lights are controlled from the mixing booth. There is a small white console inset into the mixing desk to control house white lighting. All other stage lighting is unavailible to guest groups.
- Fire Pits – Please let the guest group coordinator know if you would like access to a fire pit. Fire pits are reserved on a first come first basis. There are also fire kits available to purchase for $20. Stillwood staff are not responsible for starting fires.
- Electric Vehicle Chargers – Those with electric vehicles can have access to either a 120v, 30amp or 50amp plug to charge their electric vehicles for a cost of $10/day. Vehicle owners must bring their own plugs and adaptors.

Motel Rooms
- Cost – $65/night/room ($21.67/person)
- 10 Rooms:
- 1 twin Bunk Bed and 1 Double Bed
- Occupancy
- Maximum 4 persons, using 2 in the double bed.
- Lower Beds Only = 2 singles
- Upper and Lower Bunks = 3 Singles
Meals:
- Meal Times– Our meals are served at 8:00am (breakfast), 12:00pm (lunch) and 5:30pm (dinner). Please make sure your entire group arrives on time for meals. We do not accommodate alternative meal times.
- Dining Hall – All Stillwood meals will be served in our dining hall. Please ensure your group clears their table and places their dirty dishes in the black carts provided.
- Dietary Restrictions – Our kitchen can accommodate gluten-free, dairy-free and vegan diets upon request. Your group leader must submit a list of dietary restrictions at least 2 weeks before the start of your event.
- Snack – Your evening snack will be available to be picked up in the dining hall lobby after dinner. Your snack will be labelled, on a cart, ready to bring to your meeting room. Please return the cart and tray back to the dining hall the following day
- Coffee Service – Coffee and tea is available in many of our meeting rooms. Additionally, free coffee service and coffee for purchase is available in Stillbucks, our onsite coffee shop.
Activity Policies:
- We suggest that you break your participants into groups of 15 or less. Many of our activities can not handle more than 15 people per hour.
- We facilitate activities during specific activity blocks to allow for transition time. The activity blocks are as follows:
- 9:00am-10:00am
- 10:30am-11:30am
- 1:00pm-2:00pm
- 2:30pm-3:30pm
- 4:00pm-5:00pm
- If you are booking an activity for a day it will consist of a maximum of 5 hours. Logistically it is not possible for us to do a single activity for more than 5 hours in one day.
- The maximum number of participants for a day is 5 hours times the max number per hour the activity can accommodate. For example the zip line has a max of 30/hour, so in 1 day the most we can put though our zip line is 150 people.
- Please be aware that dependent on the time of year all the activities may not be available. There is never a guarantee that we can provide that activity based on factors outside of our control like weather or staffing issues.
Activity Specifics:
Sky High Adventure Ropes Course
- Rates: $310/per hour, $1100 for a 5-hour day.
- Numbers: Can accommodate 25 people in one hour.
- Instructors: All certified instructors included in the rate.
- The Sky high course does not include the Zip Line. Due to logistics the zip line must be booked separately.
Zip Line
- Rates: $310/per hour, $1100 for a 5-hour day.
- Numbers: Can accommodate 25 people in one hour.
- Instructors: All certified instructors included in the rate.
- The Sky high course does not include the Zip Line. Due to logistics the zip line must be booked separately.
Indoor Climbing Wall
- Rates: $200/ hour or $800/day.
- Numbers: Can accommodate 10 people per hour, per instructor.
- Instructors: 2 instructors included. Additional instructors are $45/hr.
Canoeing & Kayaking
- Rates: 400/day.
- Numbers: Can accommodate 20 people per hour.
- This is a rental only no direction or supervision is provided. Groups must provide their own instructors & safety personnel.
- Transportation to the lake is not included. Stillwood will transport boats, lifejackets and paddles.
Archery
- Rates: $75/ hour or $300/day.
- Numbers: Can accommodate 15 people per hour.
- Instructors: 1 instructor included.
Outdoor Climbing Wall
- Rates: $150/hour or $650/day.
- Numbers: Can accommodate 10 people per hour per instructor.
- Instructors: 2 instructors included. Additional instructors are $45/hour.
Low Ropes Course
- Rates: FREE
- Numbers: Can accommodate 15 people per hour per instructor.
- Instructors: $45/hour;
- Low Ropes is primarily a team building activity. Stillwood instructors use the course to facilitate team building exercises.
Swimming Pool
- Rates: $155/hour or $620/day;
- Numbers: Can accommodate 40 people per Lifeguard;
- Instructors: 1 lifeguard included. Additional lifeguards are $45/hour. Groups are permitted to provide their own certified lifeguard(s).
- The pool is only available to book for guest groups in June and September. Difficulties in hiring lifeguard staff can result in last minute pool activity cancelations.
Laser Tag
- Rates: $110/hour or $500/day.
- Numbers: Can accommodate 15 people per hour.
- Instructors: 1 instructor included.
Games Room
- Rates: $55/hour or $275/day.
- Numbers: The room can handle about 10 persons playing games at one time.
- Instructors: While a Stillwood supervisor is not required it is important that groups supervise activities in the space.
- Our small games room (located in our barn building) has pingpong, pool, air hockey and Foosball tables to enjoy.
Gymnasium
- Rates: $125/hour or $550/day.
- Numbers: Can accommodate over 500.
- Instructors: While a Stillwood supervisor is not required it is important that groups supervise activities in the Gym.
Disc Golf
- Rates: The disc golf course is free to play. If you are reserving the entire course for a tournament the cost is $7/player.
- Numbers: Can accommodate 72 people per round. 1 round takes about 2 hours.
- Instructors: Stillwood instructors are not necessary for this activity, however your group should still be supervised by your own staff/volunteers.
- Stillwood has very few discs to borrow, guests must provide their own discs.
Outdoor Volleyball, Basketball, GagaBall, 9 square & field Games
- Rates: FREE
- Numbers: Depends on the activity. Our fields can accommodate thousands of individuals.
- Instructors: Stillwood instructors are not necessary for this activity, however your group should still be supervised by your own staff/volunteers.
- Stillwood has a limited number of balls that can be borrowed for these activities.
Playground
- Rates: FREE
- Numbers: No Limit
- Instructors: Stillwood instructors are not necessary for this activity, however your group should have supervision while at this activity.
Hiking Trails
- Rates: FREE
- Numbers: No Limit
- Instructors: Stillwood instructors are not necessary for this activity, however your group should have supervision while at this activity.
Fees:
Overnight Base Fees
- There are many costs associated with hosting guest groups overnight. The overnight base fee includes your grounds fees, administration fees, cleaning fees, utilities and 1 meeting space (based on your group size). The base fee is charged per person, per day.

- Miscellaneous Foodservice Fees
- Simple banquet: This is to use the entire dining hall as your meeting room and a meal. For example, decorate the dining hall as for a birthday = $27/meal
- Coffee/Snack Break: If you are staying overnight this is included. For day use or extra breaks = $5/snack
- Food Inflation Adjustment: We reserve the right to add our inflation costs on your final bill. As a non profit charity we do not profit from hosting your group. However we still need to cover our costs, therefore as we experience food inflation we pass it to our guests.
Activity Fees
- All activities, aside from the canoe and kayak rental, include the cost of instructors. Any additional instructors will cost $45/hr.
